Responsibilities
Executive and Administrative Management
- Manage complex calendars, scheduling appointments, prioritizing conflicting demands, and ensuring the Executive is prepared for all meetings
- Heavy travel arrangements- Coordinate all aspects of domestic and international business travel, including detailed itineraries, flight bookings, accommodations, and ground transportation
- Prepare, process, and reconcile detailed expense reports, invoices, and budget summaries
- Handle incoming and outgoing communications (emails, calls, correspondence), drafting professional responses and correspondence on behalf of the Executive
Operational and Strategic Support
- Prepare, compile, and distribute materials for key meetings (e.g., leadership meetings, quarterly reviews), including agendas, presentations, and meeting minutes
- Serve as the confidential liaison and primary point of contact between the Executive, internal stakeholders (senior leadership, employees), and external partners (clients, vendors)
- Take ownership of and manage special projects, research assignments, and initiatives from conception to completion
- Maintain a highly organized, secure, and accessible system for physical and electronic files and confidential company documents
Required
- Minimum of 5 years of professional experience supporting C-level or Senior Executive leaders in a corporate environment
- Superior proficiency with standard office software suites and a demonstrated ability to learn new technologies quickly
