We are seeking a detail-oriented and organized Office Manager to oversee daily operations and manage "light" financial records. The ideal candidate will act as the administrative hub of the office while ensuring our financial data is accurate, up-to-date, and audit-ready using QuickBooks.
- QuickBooks Proficiency: Minimum 2+ years of hands-on experience (Certification preferred).
- Technical Skills: Advanced knowledge of Microsoft Excel (pivot tables, basic formulas) and Google Workspace.
- Attention to Detail: High level of accuracy in data entry and financial record-keeping.
- Communication: Professional verbal and written communication skills.
- Discretion: Ability to handle sensitive financial and personnel information with total confidentiality.

Responsibilities
- Database Updates: Keeping client and vendor contact info current in the CRM.
- Inventory Tracking: Logging stock levels, equipment serial numbers, and office assets.
- Payroll Prep: Entering employee hours, commissions, or mileage for processing.
- Digital Archiving: Scanning and filing paper documents into organized cloud folders.
- Audit Prep: Ensuring all digital records have matching "source documents" (PDF receipts/contracts).
- Accounts Payable: Recording bills and processing vendor payments.
- Accounts Receivable: Issuing invoices and tracking incoming client payments.
- Reconciliation: Matching bank and credit card statements with software records.
- Expense Management: Collecting receipts and coding them to the correct accounts.
- Financial Reporting: Generating basic Profit & Loss (P&L) or Balance Sheet reports for management.
